Position Summary:
We are seeking a highly organized and dynamic Program Manager to lead the planning, coordination, and execution of a wide range of events and educational programs. This is an exciting opportunity for a self-starter who thrives in a fast-paced, mission-oriented environment and is passionate about creating meaningful, engaging experiences.
You will manage flagship initiatives such as the Society’s signature “Japan In the School” program, annual fundraising dinners, business networking receptions, and seminars. You will also help shape program content and partnerships that reflect JASSW’s mission and strategic priorities.
This role reports directly to the Executive Director and works closely with the Board of Directors, committee chairs, staff, and community partners.
Key Responsibilities:
Program & Event Management
- Plan and manage programs and events from concept to execution, including timelines, vendor coordination, and stakeholder engagement.
- Coordinate logistics such as venue booking, catering, A/V setup, registration, guest lists, printed/on-site materials, and day-of execution.
- Prepare and monitor budgets, vendor contracts, invoices, and post-event reconciliations.
- Create program evaluation reports and data summaries for leadership and board review.
- Lead internal and external debriefs and apply insights for continuous improvement.
- Collaborate with the communication coordinator to develop promotional content and social media outreach.
Educational Programs Specific
- Manage logistics and scheduling for the “Japan In the School” program, in close coordination with lead presenters and volunteers.
- Provide administrative and communications support for the Education Committee, including drafting agendas and taking meeting minutes.
- Maintain and update the education program’s web presence in collaboration with the communication coordinator.
- Track and report impact data for grant and board reporting purposes.
Qualifications:
- Bachelor’s degree or equivalent combination of education and experience
- 2–3 years of full-time experience in program management, event planning, or nonprofit operations
- Excellent organizational and multitasking skills, with acute attention to detail
- Strong verbal and written communication skills in English (native-level fluency)
- Demonstrated ability to manage multiple priorities in a dynamic environment
- Experience working independently and collaboratively on small teams
- Proficiency in Microsoft Office and comfort with digital tools (e.g., Canva, WordPress, Microsoft Teams), with the ability to quickly learn new platforms such as CRM software like Neon One.
- Ability to work occasional evenings and weekends for events
- Interest in or knowledge of Japan, Japanese culture, or U.S.–Japan relations is a plus
Compensation & Benefits:
- Full-time, non-exempt position (up to 40 hours/week)
- Salary range: starting at $62,000 DOE
- Health benefits, paid time off, and holidays included
- Office Location: 3010 77th Ave SE, Suite 102, Mercer Island, WA 98040
- Hybrid schedule with in-office presence required at least three days per week
- Occasional early morning, evening, or weekend work may be required for events and programs, with equivalent time off available within the same 40-hour workweek.
